Inbox: Triage a Conversation Without Losing Context

Inbox: Triage a Conversation Without Losing Context

Question: How do I review a new request in Inbox without replying to the wrong person or exposing unnecessary details?

Inbox brings SMS, calls, and email into one workspace. It also separates conversations by audience: Clients, Vendors, and Team.

Start with the right view

  1. Open Inbox from the left menu.
  2. Choose the channel tab: All, SMS, Calls, or Email.
  3. Choose the audience tab before reviewing messages: Clients, Vendors, or Team.
  4. Use the filters All, Unread, Unanswered, and Calls, no message to decide what needs attention first.
  5. Use the search field only when you already know the approved identifier you need. Do not paste private data into notes or screenshots.

Review one conversation

  1. Select one conversation from the list.
  2. Read the request, then check the conversation context panel before acting.
  3. Confirm the channel and the intended recipient.
  4. If the request needs work by another person, record only the minimum useful summary and assign or escalate through the appropriate internal process.
  5. Use New Conversation only when you have permission and the correct contact details.

A simple triage order

  • Urgent safety or service interruption: escalate to the responsible human.
  • Clear, routine question: prepare a concise answer for review.
  • Missing details: request only the information needed for the next step.
  • Uncertain identity, payment, or scope: do not guess; pause and verify.
  • Spam or unrelated contact: follow your team policy rather than replying.

Privacy checklist

  • Do not publish screenshots of Inbox.
  • Do not copy names, phone numbers, email addresses, addresses, or message text into public posts.
  • Do not make a commitment from an incomplete conversation.
  • Keep internal notes factual and minimal.

Limitations

The Inbox helps organize conversations; it does not prove that a customer identity, job scope, appointment, or payment is confirmed. A person should verify important details before any commitment is made.
