Customers: Keep Records Useful, Minimal, and Easy to Review
Question: What belongs in a customer record, and how can a team keep it accurate without collecting or copying more private data than necessary?
The purpose of a customer record
A customer record gives the team enough verified context to handle the next approved step. It is not a place to paste every message, access detail, payment fact, or personal detail that someone happens to know.
Keep only information that has a clear operational purpose, is appropriate for the authorized team, and can be connected to a real decision or handoff.
Create or review a record in six steps
- Check for an existing record. Search first so a new request does not create a duplicate customer.
- Verify the minimum context. Confirm only what is needed to identify the correct operational record.
- Record the request factually. Separate what the person asked for from what the team has confirmed.
- Link active work. Connect the relevant lead, job, estimate, invoice, task, or work order.
- Name the next owner. If follow-up is needed, assign it rather than leaving an open note.
- Review what is visible. Read the record as a teammate would and remove unnecessary private material.

Keep the record accurate
When information changes, make one factual update at a time. Do not guess the correct identity, combine similar records on a hunch, or declare a customer notified without the relevant communication record.

Make next steps visible
Use a Human Task when someone must decide, and use the Follow-Up Queue when a later contact is required. This prevents a customer record from becoming a dead-end note.
