Location Record Privacy and Governance Checklist

Location and property records are sensitive. They can reveal where people live or work, access conditions, service history, and business relationships. Collect and use only what is necessary and authorized.

Scope note: This is a vendor-neutral privacy and governance checklist. It does not claim that any product provides property records, customer links, locations, maps, units, asset records, history, filters, permissions, scheduling, reporting, or integrations.

Define a narrow authorized purpose

For every location-related record, document the purpose, source, necessary fields, access owner, retention period, and correction path. Do not collect or keep a location record merely because a tool supports it.

Minimize data and access

Use the minimum detail necessary for the approved purpose. Do not publish real names, addresses, unit numbers, access instructions, phones, email addresses, location coordinates, property details, schedules, customer relationships, asset identifiers, account IDs, screenshots, logs, credentials, or internal links.

Apply least-privilege access and review it regularly.

Keep relationships and authority distinct

A contact, payer, occupant, owner, vendor, requester, or historical record may have different authority and privacy rights. Do not infer consent, access permission, billing authority, or marketing permission from a location association or prior visit.

Verify before operational use

A location entry, map marker, route, activity history, or status is not proof of current access, safety, availability, work authorization, occupancy, ownership, service completion, payment, or collected cash. Require human verification for material decisions.

Review and retire

Set a review date for accuracy, purpose, access, retention, and removal. If the team cannot explain why it holds a location detail or who may use it, remove or restrict it through the authorized process.
